Action Items

• Action item: @Marcia with support from @Tom  - Send out post-AGM email to attendees and supporters.
  • Consider sending a separate email to those who attended, and then another for all supporters
  • Include a call to action
  • Attach slides from Prym who presented at the AGM
  • Send to Tom to review before sending it out.

• Action item: @Adrian to set up a wiki for the execs to share knowledge and info. Will test with execs to see if it helps with knowledge sharing.
• Action item: @Tavis to do privacy training.
• Action item: @Marcia to send RA Execs conduct agreement. @Execs should review and sign it by next week (10 May 2026).
• Action: Richard will join our Signal group chat using the invitation already provided.

Decisions

• Decision: Switch monthly meetings between (1) In person meetings for just the Vic RRA executive members, and (2) virtual meetings using zoom, where volunteers are also invited.

• Logistics of hybrid virtual/in person is difficult to organise and set up
• Virtual meetings advertised to volunteers, in person ones not advertised, but keen volunteers can still attend if they would like

• Decision: Next meeting is just with execs, on Zoom. Will be held on 04 June 2026 @ 7pm - 8/8:30pm.

  • Communications Coordinator: Noal Balint (note: Noal was not appointed to the executive and that role during the official meeting while all executive members were present. Noal was appointed later in the day by a majority of exec members.)

• Decision: We will continue to use the existing Signal group chat (+ other volunteers) for informal messaging, creating new Signal group chats as needed for events and projects. We will use the BC Greens Campaign Slack primarily for cross-party communication, such as with other RAs and staff.

Key Points

• Key Point: Members discussed that members feel a bit wary of the time commitment that may be required for their role. Discussed that we only expect 2-6 hours per month of work including monthly meetings. Members agreed that this was the expectation.
• Key Point: Members felt new at volunteering and doing RA activities, and felt that reading all of the information on the google drive was a bit overwhelming. Members are awaiting further support from field team over the coming weeks as more training events start to roll out.
• Key Point: Fundraising link for the Victoria RRA is not up yet. Members noted that we should think about how we can better fundraise money from BC Green supporters.
• Key point: AGM feedback.
  • Great turnout (25-30 people)
  • Good energy and enthusiasm from attendees
  • Great speakers/presenters
  • ‘Classroom’ chair setup was not conducive to attendee mingling, although some mingling did happen. Consider different set up for future events/agms, as well as providing time/space for mingling
  • Many tech issues, and difficulty with having the event hybrid (zoom/in person).
  • Suggestion: Using music/dj could make the AGM a more fun event

• Key point: Members discussed how BC Green Party Policy is not in the scope of our work.
• Key point: Members discussed potential locations for future meetings. Tavis, Steven, and Marcia have space to host small (i.e. Executive-only) meetings.
• Key point: Members discussed difficulty in finding a cheap/free space where we could have meetings. Discussed theDock, but determined we would not be able to get free space there. Also discussed potentially using UVic spaces for members who had privileges from the school.
• Key point: Marcia is currently monitoring the general email (vic@bcgreens.ca), and awaiting some technical hurdles from the field team to allow all execs to share the email.
